Terms of Service
The agreement between you and the people who run TimeTrakk. Plain language, and no clause that says something the product doesn't do.
Last updated 16 September 2026
This is a template, not legal advice. It describes how the service actually behaves, so it's an accurate starting point — but it hasn't been reviewed by a lawyer, and it should be before you rely on it.
1. Who you're agreeing with
TimeTrakk is operated by [to be filled in: registered business or company name], at [to be filled in: registered business address] ("we", "us"). By creating an account or using the service you agree to these terms. If you don't agree with them, don't use the service.
You must be at least [to be filled in: minimum age to hold an account, e.g. 16 or 18] years old to hold an account.
2. Your account
- One account per person. You're responsible for what happens under yours, so keep your password to yourself.
- Give us an email address you can actually receive mail at — it's the only way to recover your account if you forget your password.
- You can create an account with an email address and password, or with Google. Either way, we never see a Google password.
3. What the service is, and what it isn't
TimeTrakk records time you tell it about: entries against projects and tags, reports computed from those entries, and optionally a banked overtime balance you can claim against. Trakki, the built-in assistant, can read that data and prepare changes to it.
It is not payroll, accounting or legal advice. Every figure is computed from what you entered, and it is only as correct as that. If your employer or a client needs an official record, this is a record of what you tracked — not a certified one, and not a substitute for whatever system your workplace requires.
The assistant can be wrong. It is instructed to read your data through the same server-side calculations the reports use rather than to estimate, but an answer is an answer, not a guarantee. Changes it prepares are shown to you for confirmation before anything is written.
4. Plans, trial and payment
- The trial runs 14 days with every feature and no card. It does not renew and it does not charge you — when it ends, the app becomes read-only until you choose a plan.
- Paid plans are Basic at $3/month, Standard at $5/month, and Pro at $12/month, with annual pricing at ten months for twelve.
- Choosing a paid plan takes you to Stripe's checkout. We never see or store your card number — it goes directly to Stripe.
- Your plan starts as soon as Stripe confirms the payment. A subscription renews automatically until you cancel it, and Stripe emails you a receipt each time you are charged.
- You can cancel at any time from Manage billing, without emailing us. Your plan stays active until the end of the period you've already paid for, and then the app goes read-only: your hours stay readable and exportable, and nothing is deleted.
- If a payment fails, Stripe retries it for several days and we keep your access during that time rather than cutting you off over an expired card.
- We can change prices. Your plan keeps the price you paid for the period you've already paid for, and you'll hear about any change before it applies to you.
5. Fair use of the assistant
Included AI on a paid plan is real spending on our side, which is why it is metered. Don't defeat that metering: no bulk account creation, no automation against the assistant, no sharing one account's allowance between several people, and no attempts to bypass the usage limits or the confirmation step before a write.
On Pro, the AI runs on your own OpenAI API key. That key is yours, the usage is billed to you by OpenAI, and your use of it is governed by your agreement with OpenAI — not this one. We store the key encrypted and use it only to make requests you ask for.
Alongside the above: don't use the service for anything illegal, don't try to break into accounts or infrastructure that aren't yours, and don't resell the service as your own.
6. Your data is yours
You own the content you put in: your time entries, projects, tags, overtime records and conversations. We store it to run the service for you. You can export all of it as CSV or JSON from Settings at any time, and you can delete your account yourself — deletion removes your records, and we can't restore them afterwards. See the Privacy Policy for what's stored and where.
Deleting your account also cancels any subscription you have, so you can't end up paying for an account that no longer exists. If you want to keep the plan but stop using TimeTrakk, cancel from Manage billing instead and your data stays where it is.
7. Availability and changes
We aim to keep the service up and your data intact, but we don't promise an uptime percentage, and this is not a back-up service: keep your own copies of anything you can't afford to lose, which the export makes easy. Features may change, and features may be removed — if we ever remove something you're actively relying on, we'll say so first.
8. Suspension and ending the agreement
You can stop using the service and delete your account whenever you like. We can suspend or end an account that breaks these terms, that attacks the service or other users, or that hasn't paid — and where it's reasonable to, we'll tell you why first.
9. Limits on our liability
The service is provided as is. To the extent the law allows, we're not liable for indirect or consequential losses, or for lost profits, and our total liability is limited to what you paid us in the twelve months before the claim. Nothing here excludes liability that can't legally be excluded, and if you're a consumer, your statutory rights are unaffected.
10. Governing law
These terms are governed by the laws of [to be filled in: governing law and courts, e.g. Nova Scotia, Canada], and disputes are subject to the courts there.
11. Changes to these terms, and contact
If these terms change in a way that matters, the date at the top of this page moves and we'll tell account holders by email before the change takes effect. Continuing to use the service after that means you accept the new version.
